Should You Email PIs Before a Rotation PhD?

For a biomedical PhD with rotations, you do not need to secure a PI before applying when the program explicitly says so. Email faculty to resolve a specific unanswered question, not to satisfy an imagined admissions requirement.

Take the program's instructions seriously

Penn Biomedical Graduate Studies answers whether applicants need to contact faculty about rotations before applying: “No, this is not necessary.” Admitted students work with their graduate group to select rotation advisers. Stanford Biosciences likewise says applicants do not need to secure a thesis supervisor before applying; students ordinarily explore laboratories through first-year rotations. The mistake is importing the rules of an advertised, supervisor-specific PhD position into a program that selects students before matching laboratories. Read the exact program and track instructions. The word “biomedical” alone does not establish the admissions model.

Decide what the email would change

Use this sequence before sending anything:

1. Check for an explicit requirement. If the application requires prior supervisor agreement, obtain it through the stated process. If the rotation FAQ says contact is unnecessary, treat that as the governing instruction.
2. Identify the missing fact. Questions about whether a laboratory participates in your track, whether cross-program rotations are permitted, or when matching happens may belong with the program administrator. Ask there first when the answer concerns program rules.
3. Reserve faculty outreach for a faculty question. A precise question about a group's current research direction or anticipated rotation availability can justify contact when outreach is permitted. Read the lab and program pages first.
4. Write down the consequence. If neither a reply nor a nonreply would change your program list, research understanding or application, the email is optional relationship-building, not unfinished paperwork.

Illustrative decision: An applicant finds three plausible laboratories in a rotation program whose FAQ says no advance contact is needed. One PI does not answer a question about next year's projects. The applicant can still complete the program application. If the instructions instead require a named supervisor's agreement, the same nonreply leaves a required step unresolved. Identical inbox results mean different things under different rules.

A reply is not a lab placement

Our recommendation: record “interested in discussing a rotation” as exactly that. Do not turn it into “has agreed to supervise my dissertation.” Before accepting an offer, investigate the matching process and alternatives if your favorite laboratory cannot take you.
