German PhD: Contract, Scholarship or Offer?

A German PhD admission letter, employment contract and scholarship award establish different commitments. Do not treat a supervisor's invitation as proof of all three. Confirm your doctoral admission, supervision arrangements and financial support in the documents responsible for each.

Read the commitment, not just the word “offer”

Research in Germany explains that nonuniversity research institutes cooperate with universities that award doctorates. Research can be supported through scholarships, fixed-term employment contracts or combinations of funding. The institution hosting your work and the institution admitting you to the doctorate may therefore be different.

Consider three documents separately:

A single document might address more than one row. The test is whether the commitment is actually stated, not whether you possess exactly three PDFs.

Two institutional examples show why this matters

At Heidelberg's Faculty of Engineering, applicants first find a supervisor, then submit a doctoral agreement and an application for admission as a doctoral candidate. The faculty also specifies its relationship to admission into a structured program. This is a concrete administrative sequence; do not assume every German faculty uses the same order.

Max Planck describes doctoral funding contracts that combine research with social security. Its published arrangements include a defined funding term and a possible extension. “Possible” is not the same as an extension already awarded. Max Planck also works with universities that formally confer the doctorate, so an institute position still needs the appropriate university connection.

These examples support a practical rule: map each promise to the organization making it. A professor can discuss a project; the faculty handles its admission decision; a funder or employer sets the financial terms. Ask the relevant office to confirm anything missing.

Use a three-part confirmation check

Illustrative case, created for this guide: A professor emails an applicant, “I would be happy to supervise you if funding is secured.” The applicant has submitted a scholarship application but has not received its decision. This is a potential supervision arrangement with an unresolved funding condition. It should remain in that category even if the email subject says “PhD offer.”

Before committing to a start date, record:

1. Admission: accepted, conditional, or not yet submitted; identify the unresolved academic documents.
2. Supervision: named supervisor and agreed project; confirm any remaining approval.
3. Funding: awarded, conditional, or pending; identify the payer, start date, duration and written conditions.

For employment, request the actual working-time and remuneration terms. For a scholarship, identify the award's payments and any separately covered costs. Do not calculate spendable income by treating a quoted employment salary and a scholarship allowance as interchangeable.

Prepare the next application accurately
