Email to Residency Coordinator: IMG Templates

Email a residency coordinator only about logistics the program can act on: a document question, a requested CV, a time-zone problem, a visa question before you rank. Don't email to ask for an interview. UTHealth Houston says emails of interest "are not considered", Missouri says interview requests by phone or email "will not be considered", and Northwestern psychiatry does not consider letters of interest.

At the programs below, applications arrive through ERAS and questions go to coordinators. Our view: that is why an email asking a coordinator for an interview goes nowhere, while an email that fixes a problem the coordinator can fix gets answered. Below are what three program pages invite and refuse, five constructed templates under 90 words each, the subject line and signature to use, and how often to write. For the wording itself, see kindly revert and other phrases in residency emails.

The program pages and NRMP documents quoted below were checked on November 7, 2026, for the 2026–27 season and the 2027 Main Residency Match.

Can you email a coordinator to ask for an interview?

No, at the programs we checked. The verbatim refusals from UTHealth Houston internal medicine, Missouri internal medicine and Northwestern psychiatry are on our residency letter of interest page, along with one program that requires a letter of interest. The same three pages also say what email is for:

ProgramWhat the page invitesWhat the page says not to send
UTHealth Houston IM"If you have any additional questions, you may email our Residency Program Coordinators listed below.""Please do not mail, fax, or email any information; it will not be incorporated into your file."
University of Missouri IMIts FAQ answers eligibility, visa and certification questions on the page"Please do not call to check on the status of your application." "Waitlist requests via phone or email will not be considered."
Northwestern psychiatryQuestions about "the interview process or applying" go to its program manager by email"Applications will not be accepted via fax, mail or email."

The pattern across the three: questions yes, documents and status checks no. Documents go through ERAS; Northwestern's page says applications reach ERAS "through your medical school dean's office or the Educational Commission for Foreign Medical Graduates (ECFMG)". A coordinator cannot add an emailed PDF to your file, and UTHealth says it won't.

Our recommendation: write a coordinator only when you can name the problem in one sentence and the coordinator can solve it. Everything else, including "I am very interested in your program", is either a signal (sent through ERAS) or a letter (sent after the interview, where the specialty allows one). The countercase: some programs ask for an email. UTHealth's page says: "Please let us know if your partner has received an interview at our institution and you haven't heard from us." A couples applicant at that program should write, and the email is an interview request the program asked for.

Five constructed templates

Each template is a constructed example, written by us, not a real applicant email. The names and programs are invented. Replace every bracket. Keep the subject line format in the next section.

Template 1: asking whether your file is complete

Use it when ERAS shows a document as missing or a letter as not yet uploaded, and the program's page doesn't say how to check. Do not attach the document.

Constructed example, written by us, not a real applicant email. 63 words:

Dear Ms. Dunleavy,

I applied to your categorical internal medicine program through ERAS on September 24, 2026. My ERAS account shows Dr. Brandauer's letter as uploaded on October 20, but I want to be sure it reached my file with you. Could you confirm that my application is complete? I have not attached anything, as your page asks.

Thank you, Rahul Deshmukh, MBBS

Template 2: replying when the program asks for an updated CV

Only when the program asked. Say what changed, because MPA §6.3 holds you "responsible for ensuring the completeness, timeliness, and accuracy of all information provided to programs" (2027 MPA).

Constructed example, written by us, not a real applicant email. 55 words:

Dear Ms. Dunleavy,

Thank you for your email. My updated CV is attached. Two entries are new since I applied: I passed USMLE Step 3 on October 30, 2026, and my observership at St. Clare Hospital ended on November 13, 2026. Everything else matches my ERAS application.

Thank you, Rahul Deshmukh, MBBS AAMC ID [number]

Template 3: confirming a time zone or rescheduling

An interview time with no time zone, or a slot in the middle of your night, is a logistics problem and worth one email. If you need to move the date, section 6.2 of the MPA asks applicants to "Apply reasonable measures of notification (e.g., one-to-two weeks' notice) when needing to cancel or request rescheduling of an interview." The specialty response windows for invites are on the invite reply and waitlist emails page.

Constructed example, written by us, not a real applicant email. 77 words:

Dear Mr. Rasmussen,

Thank you for scheduling my interview on Thursday, January 14, 2027. The confirmation lists 9:00 a.m. without a time zone. Could you confirm it is Central time? I am in India, so 9:00 a.m. Central is 8:30 p.m. for me, which works.

If it is Pacific time (10:30 p.m. for me), could I move to another January date? I am writing more than two weeks ahead.

Thank you, Rahul Deshmukh, MBBS AAMC ID [number]

The conversions are our arithmetic: in January, Central time is six hours behind UTC, Pacific time is eight hours behind, and India Standard Time is five and a half hours ahead, so 9:00 a.m. Central is 8:30 p.m. in India and 9:00 a.m. Pacific is 10:30 p.m. Write both times in your email so nobody converts twice.

Template 4: asking about visa sponsorship before you rank

This is the email the 2027 MPA makes your job. Section 7.2: "Non-U.S. citizen applicants requiring a visa are responsible for confirming the institution's willingness to sponsor the visa-type intended by the applicant before certifying their rank order list." Send it to the coordinator in writing, not to an interviewer in the middle of an interview, and send it early: Northwestern's GME office says "Any candidate requesting an H-1B visa must be reviewed by our DIO and the GMEC for approval prior to ranking or offering placement." (McGaw policies).

Constructed example, written by us, not a real applicant email. 75 words:

Dear Ms. Dunleavy,

I interviewed for your categorical internal medicine program on December 9, 2026. I need a visa to train in the US and have passed Steps 1, 2 CK and 3. Your page lists J-1 sponsorship; it does not mention H-1B. Does the program sponsor H-1B for categorical residents, and if so, is there a review I need to complete before the March 3, 2027 rank list deadline?

Thank you, Rahul Deshmukh, MBBS

If the program's page already answers the question, don't ask it. Missouri's page says: "We accept J-1 visas only. We do not sponsor H-1B visas under any circumstances." The visa-first program shortlist covers how to read these policies.

Template 5: a status question after a published date has passed

Only when the program publishes a date for interview decisions, that date has passed, and the page does not tell you not to ask. Missouri's page says "Please do not call to check on the status of your application", so don't send this email to Missouri either.

Constructed example, written by us, not a real applicant email. 58 words:

Dear Mr. Rasmussen,

Your program page says interview decisions for the categorical track would be sent by December 15, 2026. I have not received an invitation or a decision, and I want to be sure an email has not gone astray. Could you tell me whether decisions have been sent?

Thank you, Rahul Deshmukh, MBBS AAMC ID [number]

Subject lines and signatures

A coordinator files your email by name and ID before reading it. Put both in the subject.

Format: [Full name], AAMC ID [number], [specialty and track], [the ask in three words]

  • Rahul Deshmukh, AAMC ID 12345678, IM categorical, file complete?
  • Rahul Deshmukh, AAMC ID 12345678, IM categorical, updated CV attached
  • Rahul Deshmukh, AAMC ID 12345678, IM categorical, interview time zone
  • Rahul Deshmukh, AAMC ID 12345678, IM categorical, H-1B question

(The ID is a placeholder.) Use the specialty and track as the program lists them, because one institution can run several tracks with different rules; Yale's internal medicine page lists a categorical track, a physician scientist track and two preliminary tracks.

Signature: full name and degree once ("Rahul Deshmukh, MBBS"), AAMC ID, phone number with country code, and your time zone. That is the whole block.

How often to email a coordinator

Our recommendation: one email per problem, and no follow-up inside a week unless a deadline is closer than that. A second email about the same thing goes in the same thread, with the original below it. Basis: the program pages above ask applicants not to check status by phone and not to send anything the file cannot use; repeat messages are both.

There is one exception where speed matters. If an interview invitation needs a reply, reply inside its window. Programs are asked to give applicants "no less than 48 hours to accept or reject an interview invitation" (MPA §6.2); the invite reply page lists the shorter windows some specialties use.

Questions about emailing residency coordinators

Is it okay to email residency programs for an interview?

Not at the programs we checked: UTHealth Houston, Missouri and Northwestern psychiatry each say they don't consider that kind of email or letter. A program that asks for a letter or a couples notice is the exception, and its page will say so.

My application status says "under review." Should I email the program?

No. That status tells you the program has your application. Write only if the program published a decision date that has passed and does not ask you not to (Template 5).

Should I email the coordinator or the program director?

The coordinator, for anything about files, scheduling or sponsorship. Programs list coordinators for questions; UTHealth's page says to email its "Residency Program Coordinators". A program director gets a letter after the interview, where your specialty allows one.

Can I ask a coordinator about H-1B sponsorship?

Yes, and before you rank you have to have the answer: MPA §7.2 makes confirming sponsorship the applicant's responsibility "before certifying their rank order list". Ask in writing and keep the reply.

Can I email my updated CV without being asked?

Don't. UTHealth says emailed information "will not be incorporated into your file". For a genuine change after you applied, see the IMG update email for ECFMG and Step 3.

Review the writing you send next

The emails above are logistics; the letter you send a program after the interview is where wording matters.
