Australia PhD After the EOI: Interview and Offer
After an Australian PhD EOI: the supervisor interview, why admission and scholarship are separate decisions, UNSW's two-week reply rule and four emails.
Australia PhD After the EOI: Interview and Offer
In Australia, admission and the scholarship are two separate decisions. UNSW's scholarship guidelines say the two outcomes "are provided in separate correspondence, and may be at separate times." Once you hold an unconditional UNSW offer, you have two weeks to accept, decline or ask to defer.
That split changes what an "offer" means. An admission offer without a stipend is not a near-miss you should accept by default. Your next move is to ask your supervisor which funding source or round you can still compete for. This page covers the stage after your expression of interest: the supervisor interview, the two decisions, and four constructed emails.
Every university page quoted below was checked on 31 October 2026. Round dates change every year. Recheck the page for your intake before you write to anyone.
From EOI to supervisor interview
At Adelaide, the interview comes before the formal application, not after it. Adelaide University says the supervisor will likely ask for your CV, transcripts and English results "before inviting you to an interview to determine if you are a suitable match." Adelaide's document list then asks for "Confirmation of an interview (in English) with your proposed supervisor", unless you already have a prior professional relationship with them. Which universities need an interview record, and what counts as proof, is covered in PhD supervisor approval in Australia.
Adelaide also names what decides the offer. Your likelihood of an offer "will largely be determined by" two things. The first is "the alignment of your interests or your own project idea with the research interests and experience of potential supervisors". The second is "the capacity of supervisors to accept you as a research student."
What the supervisor interview tests
No university we checked publishes its supervisor interview questions. The table below is our recommendation, built on Adelaide's two offer factors. It is not a list of questions any university says it asks.
| What the supervisor needs to know | Questions to prepare for | What to bring |
|---|---|---|
| Does your project fit my work? | Why this project and why my group? | One paper of theirs you can discuss in two sentences |
| Can you do the method? | Walk me through your honours or master's thesis. | The one result you produced, and what went wrong |
| Is the project the right size? | What would you do in year one? | A first-year plan in three steps, from your proposal |
| Can I fund you? | Have you applied for a scholarship? Which round? | The round name and closing date on the university's own page |
| Will you finish? | What happens if the first experiment fails? | One fallback question your proposal can still answer |
Do not skip the fourth row. Know the round you are aiming at before the call. The supervisor may be able to fund you from a grant, and that changes your path (see the next section). For general practice, use PhD interview questions for international students and questions to ask a professor in a PhD interview.
Admission vs scholarship: two decisions
UNSW's HDR Scholarship Guidelines (PDF, last modified August 2026) set out the rules in detail. The key lines:
- Separate outcomes. "Admission and scholarship outcomes are provided in separate correspondence, and may be at separate times. All applicants, successful and unsuccessful, will be notified."
- Offers come in waves. "Initial offers are released within 2 weeks of the advertised date. Further offers can take around two months", partly because of the "Decline/finalisation of initial offers".
- Conditional is not final. "Applicants are not able to accept conditional offers." And: "A conditional offer does not guarantee a final offer."
- A supervisor can fund the stipend. UNSW's Tuition Fee Scholarship "Consists of tuition fees funded by UNSW, and a stipend funded by the Faculty, School or Supervisor."
- Out-of-round is possible but not automatic. Applicants "must apply initially to a regular scholarship round as above, and discuss their funding situation with their prospective supervisor." It also says: "OOR approvals are not automatic".
The University of Sydney keeps the same split. Admission is open all year, but "You can still submit your course application past the RTP deadline but you will not receive a stipend outcome until the next round of RTP rankings." Its international RTP timeline for 2027 starts:
| Commencing | Submission deadline | Outcomes issued from | Outcomes finalised (Sydney's estimate) |
|---|---|---|---|
| Research Period 1 and 2, 2027 | 11 September 2026 (passed) | 10 November 2026 | 17 December 2026 |
| Research Period 3 and 4, 2027 | 18 December 2026 | 26 February 2027 | 18 May 2027 off-shore; 30 June 2027 for applicants completing a degree in Australia |
Adelaide is explicit about rounds too: "these scholarship opportunities and rounds are distinct. If you are interested in multiple opportunities, please submit an application in each." What the stipend and fee offset each cover is in Australia RTP: tuition, stipend or both.
Our view: if you receive admission without a stipend, do not accept it the same day unless you can pay. Use your reply window to ask the supervisor one question: which funding source, and which round, can I still compete for? At UNSW the honest answers are a supervisor-funded stipend, an out-of-round request the supervisor makes for you, or the next round.
The countercase: if you hold external funding that covers your stipend, such as a home-government scholarship, the admission offer is the decision that matters. UNSW lists a Tuition Fee Scholarship paired with "an approved External organisation (e.g. China Scholarship Council PhD scholarship)." In that case, accept the admission offer and confirm the pairing in writing.
Reply windows, deferral and feedback
- Reply within two weeks. "Recipients must respond to their offer within 2 weeks of receiving the offer. Recipients can accept, decline, or, if outlined in the offer, request to defer their admission and scholarship." (UNSW)
- Two acceptances at Adelaide. Adelaide asks you to return an Admission Offer Acceptance form and, separately, a Scholarship Offer Acceptance "(if applicable)".
- Deferral can cost you the scholarship. At UNSW, check that you meet English requirements for the new term and "whether the scholarship is still valid for the relevant term". UNSW says "Deferral consideration may take around 4 weeks". For scholarships that cannot be deferred, "recipients will be placed in the next available scholarship round for competitive reassessment."
- No feedback from the central office. "Due to the volume of applications, GRS cannot provide further details on unsuccessful outcomes." (UNSW)
- Reconsideration has published triggers. UNSW permits it "where a TFS stipend becomes available after the round, and where the applicant has written confirmation of the stipend from their supervisor". It may also be permitted, "as detailed in the applicant's outcome email", at least six months after the outcome, if the reapplication meets the eligibility requirements and you also have substantial new research experience or a significant change of topic, supervisor or program.
- The visa step follows acceptance. At UNSW, "a Confirmation of Enrolment (CoE) will be issued within the fortnight following scholarship acceptance." The visa process belongs to the Department of Home Affairs and is out of scope here.
Four emails for the post-EOI stage
Four constructed examples, written by us, not real applicant emails. Names, projects and rounds are invented. Word counts include the subject line.
Constructed example 1: asking about funding after an unfunded offer (99 words)
Constructed example, written by us, not a real applicant email.
Subject: Admission offer received: funding options for Term 3, 2027
Dear Dr Whitlock,
I have received an offer of admission to the PhD, but no scholarship in this round. I would still like to do the drought-mapping project with you.
Before my two-week reply deadline on 14 June, could you tell me which options are realistic? Is a stipend from your grant possible, or an out-of-round request? Or should I apply in the next round and defer?
I can send an updated proposal or join a call this week.
Thank you for supporting my application.
Kind regards, Ananya Rao
It asks one question and gives the supervisor UNSW's three real routes to choose from. It names the deadline so the supervisor knows how long they have.
Constructed example 2: accepting, with a note to the supervisor (71 words)
Constructed example, written by us, not a real applicant email.
Subject: Accepted: PhD offer and scholarship, starting Term 2, 2027
Dear Dr Whitlock,
I accepted my admission and scholarship offers in the applicant portal today. Thank you for your support through the interview and the round.
Could you tell me what to read before I arrive, and whether I should plan to start ethics training early?
I will send my arrival date once my visa is granted.
Kind regards, Ananya Rao
Constructed example 3: asking about deferral (72 words)
Constructed example, written by us, not a real applicant email.
Subject: Deferral question: PhD offer, Term 1, 2027
Dear Dr Whitlock,
I may need to defer my start to Term 3, 2027 because my current employment contract ends in July.
Before I submit a request in the portal, can you confirm you are happy with a later start? Do you know if my scholarship can move with it? I understand it may otherwise go to the next round.
Kind regards, Ananya Rao
Constructed example 4: asking the supervisor for feedback (67 words)
Constructed example, written by us, not a real applicant email.
Subject: Unsuccessful scholarship outcome: next round
Dear Dr Whitlock,
My scholarship application in this round was unsuccessful. I know the central office does not give feedback, so I am writing to you.
Is there one part of my proposal or research record I should strengthen before the next round? I would like to reapply with a stronger case, if you still have capacity.
Kind regards, Ananya Rao
Email 4 goes to the supervisor because UNSW's office has said it cannot give details. Ask for one thing, not a full critique.
Questions about Australian PhD offers
Can I accept the admission offer and wait for a scholarship?
Sometimes, but not at the cost of your reply deadline. UNSW gives two weeks for unconditional offers. Ask the supervisor about funding inside that window (Email 1), then decide.
Can I accept a conditional scholarship offer?
Not at UNSW. Its guidelines say "Applicants are not able to accept conditional offers." You submit final marks and wait for the final assessment.
Will the university tell me why my scholarship was unsuccessful?
UNSW's central office says it "cannot provide further details on unsuccessful outcomes." Your supervisor is the better person to ask.
If I defer, do I keep my scholarship?
Only if your offer says it can move. At UNSW, scholarships that cannot be deferred go back into "the next available scholarship round for competitive reassessment." Applying across the Tasman? Auckland's Statement of Research Intent sets limits by faculty.
