Cover Letter for a PhD Position: Sample and Method
A cover letter for a PhD position answers one advert. Build it from the ad's own requirement list: one evidence sentence per requirement you claim, and one plain sentence for the requirement you will still have to learn. The full sample below does that against a live Lund University vacancy, line by line.
Our view: a PhD cover letter written like a general job letter, addressed to nobody and naming no research question, fails the one test the panel runs. The panel is hiring for a funded project and wants to know whether you can do it. Claiming you meet every line does not help; showing which lines you meet, with proof, does. When your draft is ready, choose the PhD position cover letter rubric for a free review.

What PhD vacancies call the letter
European ads use different names for the same document. Read the name, then read the instruction under it.
| Ad | What it asks for | Length |
|---|---|---|
| Lund University, LTH: Risk and Safety of heterogeneous swarm systems | "a cover letter stating the reasons why you are interested in the doctoral programme/employment and in what way the research project corresponds to your interests and educational background" | not stated |
| Lund University, MINARET Doctoral Network | "A cover letter in English (max 1,000 words)" | 1,000 words |
| TU Delft: Sustainable Generative AI | "motivation letter" | not stated |
| UvA ILLC: Social Media and LLMs (closed 6 September 2025) | "Motivation letter (max 1 page)" | 1 page |
Cover letter and motivation letter are the same job here: why this position, and why you. A US "statement of purpose" for a doctoral programme is a different document with a different reader. The Dutch and Doctoral Network ads carry rules of their own, covered in the Netherlands PhD motivation letter guide and the MSCA Doctoral Network cover letter guide.
The LTH instruction is the most useful of the four, because it names the two things the letter must answer: why you are interested, and how the project corresponds to your interests and educational background. Answer both even when an ad only says "motivation letter".
Turn the ad into a requirement table
Before you write a sentence, copy every requirement line from the ad into a table. Mark each one meet, partly or learn. Write one evidence sentence for each: your action, your result, and where the reader can check it (CV, transcript, thesis).
The LTH ad lists these under "Additional requirements" and "Other qualifications". Here is the table for an invented applicant.
Constructed example, written by us, not a real applicant. Context (invented): Rahul Menon has a master's in mechanical engineering with a control-systems thesis from a university in Pune, and one year as a test engineer at a drone company.
| Requirement (the ad's words) | Rahul | Evidence sentence |
|---|---|---|
| "good knowledge in risk, system safety, design, and governance of socio-technical systems in complex settings" | partly | Ran a failure-mode analysis for a formation-flight controller; no governance training |
| "good ability to work independently and to formulate and tackle research problems" | meet | Narrowed his own thesis question after the first one proved already solved |
| "good ability to cooperate with other researchers and practitioners" | meet | Wrote flight-test procedures with pilots and a safety officer |
| "skills and experience in modelling and simulation" (meriting) | meet | Built the thesis simulation in MATLAB and Simulink |
| "skills and experience relating to relevant qualitative research methods, such as interviews" (meriting) | learn | None; the ad says the work will "likely combine qualitative (e.g. interviews) and quantitative (e.g. modelling, statistics) methods" |
| "practical experience of operations in manned or unmanned aviation" (meriting) | meet | 140 logged test flights as a test engineer |
Our recommendation: pick the three or four rows where your evidence is strongest, plus the one "learn" row that matters most to the project. Those become the letter. The rest stay in the CV. The PhD motivation letter guide for Germany and Europe uses a similar evidence map for German routes; the difference here is that every row quotes the ad's exact words, so the panel can see you read them.
Constructed sample: a full PhD cover letter, annotated
Constructed example, written by us, not a real applicant statement. Rahul's letter for the LTH position. It is 354 words. The numbers in it are invented for the example.
Dear [contact person named in the ad],
I am applying for the doctoral student position in Risk and Safety of heterogeneous swarm systems (PA2026/2844). The project's aim of risk assessment "before, during, and after operations" is the part of drone work I have spent the last two years inside, as an engineer, and I want to study it as a researcher.
My master's thesis asked how a formation of four quadcopters should respond when one loses a motor. My first question, a new control law, turned out to be already solved in the literature, so I narrowed it: does the formation stay safe if the fault is detected late? I built the simulation in MATLAB and Simulink, ran 1,200 fault cases, and found that detection delays above 0.4 seconds caused collisions in 30% of runs. I chose the question, the method and the analysis myself.
After my degree I worked for a year as a test engineer at a drone company. I logged 140 test flights and wrote flight-test procedures with two pilots and our safety officer. That work showed me that most of our safety decisions were made in meetings, not in code. Your project's focus on "accountability and responsibility" is the question I kept meeting there without the tools to study it.
I meet the ad's modelling and operations lines. I do not yet meet the qualitative one. I have never designed or run research interviews. The ad says the work will likely combine interviews with modelling, so in my first year I would learn qualitative interviewing, through coursework and supervised pilot interviews with operators, before the main study.
I am interested in this programme because it sits inside an aviation department that runs a flight school and a drone school at Ljungbyhed. Access to real operations and real operators is what my previous work lacked. I would also expect to teach; I tutored first-year mechanics students for two terms during my master's.
My CV, degree certificates and thesis are attached. My only employer has been the drone company named in my CV, and my thesis was unfunded.
Yours sincerely, Rahul Menon
How each paragraph answers the ad:
- Opening. Names the position and reference number, and quotes the project's own aim. It answers "why you are interested" in one sentence.
- Thesis. One project, Rahul's own decisions, one result. It answers "formulate and tackle research problems" and "modelling and simulation" without using either phrase as a claim.
- Work. Answers "practical experience of operations" and "cooperate with other researchers and practitioners". It links the job to the project's "accountability and responsibility" theme.
- The gap. States the "learn" row plainly and gives a plan. Leaving it out would make every other claim harder to believe.
- Why this programme. Uses facts from the ad (the flight school, the drone school, the location), not rankings. It also answers the ad's teaching line, "a maximum of 20% of working hours".
- Close. Points to the documents the ad lists and states his affiliations. The ad says "a security screening will be carried out if applicable", so facts beat vagueness.
Five lines that sink PhD cover letters
Four of the five follow the public mistakes list on GradPilot's PhD position cover letter rubric.
- "Dear Hiring Manager". The ad names a contact person. Use that name, or the department.
- Praise for the institution. "Your world-renowned university" says nothing about the research problem.
- Tools without use. "Python, ROS2, MATLAB, C++" is a CV line. Say what you built with one of them.
- "I am a perfect fit." Show the fit row by row, and name what you still have to learn.
- Team work without your role. "We developed a controller" hides you. Write what you decided, built or found.
When the ad also wants a proposal or a statement
Split the jobs. The letter says why this position and why you. The proposal says what you would do. If the ad asks for both, the letter does not summarise the proposal, and the proposal does not tell your story.
Applying to a structured Max Planck school rather than one vacancy? That is an IMPRS motivation letter, read for group fit.
If an ad asks for a personal statement for a defined project, the guide to personal statements for advertised PhD projects covers that route. If the ad asks for a research proposal, write it as its own document.
Questions about PhD cover letters
How long should a PhD cover letter be if the ad gives no limit?
Use one page, or about 400 to 450 words. That is our recommendation, not a published rule. Two of the four ads above set a limit: one page and 1,000 words. When an ad sets one, it wins.
Who do I address the letter to?
The contact person named in the ad, by title and surname. If the ad names only an HR contact, address the hiring committee for the position.
Can I apply to two positions in the same group?
Yes, if the ads allow it. Write two letters. Each project has its own question and its own requirement table.
Should I attach my publications?
Attach what the ad lists. If you have a paper that proves a row of your table, name it in one sentence in the letter and list it in the CV. The LTH ad also invites "Other documents you wish to be considered". Applying to a Swiss doctoral school rather than a single post? See ETH Direct Doctorate and EPFL PhD statements for the EDIC statement and the ETH funding-letter rule.
Applying in Sweden? See how Swedish law shapes a PhD cover letter: selection is on ability to assimilate, not seniority.
Italian doctorates are filled by public calls rather than advertised jobs; the PhD in Italy research proposal guide covers that route.
Applying to US programs as well as European vacancies? See what to change in one PhD SOP for multiple countries.
The referees you name with this letter have their own rules: see references for PhD positions in Europe.
The panel will test the same evidence in the European PhD position interview, usually within two or three weeks of the closing date.
