PhD Position in Sweden: The Cover Letter

A PhD position in Sweden is a four-year salaried job, and Swedish law says who gets it: selection "must consider their ability to assimilate the course or study programme". Of six Lund University ads we checked, five set no length for the cover letter; only the sociology of law ad caps it, at 1,000 words.

That legal test is the whole brief for your letter. The same rule says credit you could transfer "for professional or vocational experience may not give the applicant priority". So a letter built on seniority ("seven years of experience") argues the one thing the selection test is told not to reward. Argue research capacity instead, from your thesis and methods, and answer the ad's own requirement lines. If you already have a draft, you can check your PhD cover letter against a position-letter rubric.

Every Swedish law text and Lund University ad quoted below was checked on 31 October 2026. Ads close and are replaced, so read the current ad for your position before you submit.

The rule behind every Swedish PhD ad

The Higher Education Ordinance (1993:100), in the English translation published by the Swedish Council for Higher Education, sets four rules a cover letter writer needs:

RuleOrdinance textWhat it means for the letter
The post is a jobCh. 5 s. 3a: "A doctoral studentship must be a full-time position."You are applying for employment, so the letter is a job letter, not an essay
Teaching is limitedCh. 5 s. 2: other duties "may not comprise more than 20 per cent of a full-time post"Teaching experience is a minor part of the job, so it should be a minor part of the letter
The length is fixedCh. 5 s. 7: employment for "no more than eight years" but no longer than "full-time third-cycle studies of four years"Do not promise to finish early; promise a plan that fits four years
Selection testCh. 7 s. 41: "Selection between applicants … must consider their ability to assimilate the course or study programme."Every paragraph should be evidence of that ability

Section 41 continues with the sentence that matters most for experienced applicants: "However, during selection, the fact that an applicant is assessed as able to transfer credits from prior courses and study programmes or for professional or vocational experience may not give the applicant priority over other applicants." Chapter 5, section 5 applies the same test and the same prohibition when the job and the admission go together, which is how an advertised post works.

Lund's English ads translate the same test as "ability to benefit". The astronomy ad, for example, says "The selection of eligible applicants will be made taking into account the ability to benefit from the training". Same law, two English phrasings. Use whichever your ad uses.

Our view: experience is evidence only when you name what it shows about doing research. The countercase: section 40 lets universities set "specific professional or vocational experience" as an entry requirement, and some ads list practical experience as a merit. The LTH swarm-safety ad lists "practical experience of operations in manned or unmanned aviation" among its meriting qualifications. When the ad names experience, use it, but tie it to the project.

What six Lund ads ask the letter to do

All six ads below were open on 31 October 2026 and are on Lund's Varbi job portal. Five set no length for the letter.

Two patterns stand out (our reading of six ads, not a rule for all of Sweden):

  1. The core question repeats. Four of the six ask, in nearly the same words, how the project matches your interests and background. Answer that question first and by name.
  2. The research writing sits outside the letter. Where an ad wants research ideas, it asks for a separate statement or proposal. Do not squeeze a proposal into the letter when the ad gives it its own document.

The MINARET post is an EU-funded MSCA Doctoral Network position, with a mobility rule on top of the Swedish one. Our MSCA Doctoral Network cover letter guide covers that rule and this ad in detail.

Writing to "ability to assimilate"

The legal test is abstract. The ads turn it into requirement lines you can answer one by one. The swarm-safety ad lists, among others, "good ability to work independently and to formulate and tackle research problems" and "good written and oral communication skills", and adds: "Consideration will also be given to how the applicant, through his or her experience and skills, is deemed to have the abilities necessary for successfully completing the third cycle programme."

The medical radiation physics ad is more explicit about what counts. Its selection criteria include "results achieved in first and second-cycle courses or the equivalent", "the quality of the second-cycle degree project and other autonomous work" and "personal qualities deemed to support the ability to carry out the doctoral education, such as independence, analytical ability, creativity, and ability to collaborate".

Turn those lines into paragraphs:

Requirement lineEvidence that answers itEvidence that does not
Formulate and tackle research problemsA question your thesis found that was not in your plan, and what you did"I am passionate about research"
Quality of the degree projectThe thesis method, data and one result, with a numberThe thesis title and grade alone
IndependenceA decision you made without your supervisor, and why"I can work independently"
CollaborationA shared project, your part namedTeam sports, unless the ad asks
Methods the project usesThe method you used, at the level you used itA list of software

Our recommendation: spend most of the letter on your degree project. Three of the six ads ask for the thesis itself or a summary of it, and the medical radiation physics criteria name its quality directly. It is the nearest thing to a sample of doctoral work that you can offer.

Your thesis in another language

Some ads ask for the thesis itself. The MINARET ad adds: "If the thesis is written in a language other than Swedish, Danish, Norwegian, or English, a summary of max 1,000 words must be included, outlining the methodology, theory, results/analysis."

If your thesis is in Bengali, Persian, Arabic, Urdu or Turkish, write that summary as a separate document, in the order the ad gives:

  1. Methodology: design, data, sample size, analysis.
  2. Theory: the framework or literature the thesis tested or used.
  3. Results and analysis: two or three findings, with numbers where you have them.

Do not repeat it in the cover letter. The letter can point to it in one line ("the attached 1,000-word summary of my Bengali-language thesis"). Ads that ask for a thesis without a language rule, such as the medical radiation physics and heat transfer ads, do not state what to do with a thesis in another language; ask the contact person named in the ad.

Constructed example: cover letter opening and evidence paragraph

Context (invented): a mechanical engineering MSc graduate from Bangladesh, who has worked as a design engineer and then for five years as a lecturer, applies to the turbulent heat transfer position in the table above (PA2026/3050). The thesis and its numbers are invented for the example.

The seniority opening (87 words)

Constructed example, written by us, not a real applicant statement.

I am writing to apply for the doctoral student position in Numerical simulations of turbulent heat transfer over rough surfaces. I have more than seven years of professional experience, including five years as a lecturer in mechanical engineering and two years as a design engineer at a boiler manufacturer in Dhaka. During this time I have taught many courses and supervised many student projects. I am a hard-working and dedicated person, and I am confident that my long experience makes me a strong candidate for this position.

The research-capacity opening (189 words)

Constructed example, written by us, not a real applicant statement.

I am applying for the doctoral student position in Numerical simulations of turbulent heat transfer over rough surfaces (PA2026/3050). My MSc thesis asked a question close to this project's: does a standard RANS model predict the extra heat transfer from ribs on a cooling-channel wall? I ran LES of a ribbed channel in OpenFOAM on my university's CPU cluster, checked the smooth-wall case against published DNS data, and found that the RANS model under-predicted heat transfer behind the ribs by about 20%.

That thesis is the evidence for two of the ad's requirements. It shows the "ability to independently set up, run, troubleshoot, validate and analyse numerical simulations": when my first LES runs diverged, I traced the fault to the inlet condition and rebuilt it. And it gave me "practical experience running computational simulations on HPC systems", on a small cluster. I have not used GPU codes such as nekRS, and I would learn one in my first months.

My five years as a lecturer matter for one reason: I designed and supervised two final-year CFD projects on fin cooling, and I checked every mesh and validation case myself.

The first version asks for priority on years, which section 41 says credit for experience cannot give. The second answers the ad's core question in its second sentence, quotes two of the ad's requirement lines and proves each, names one gap, and uses the lecturing years only for the research supervision in them. Classroom teaching is left out, because the post caps teaching and other duties at 20% of working hours.

Before you upload: a Swedish cover letter check

  1. Copy the ad's document list and its exact question for the letter. Answer that question in the first paragraph.
  2. Check for a word cap. If there is none, one to two pages is a reasonable length (our recommendation, not a published rule).
  3. List the ad's requirement lines and give each one a piece of evidence, not an adjective.
  4. Put research ideas in the research statement or proposal if the ad asks for one, not in the letter.
  5. If your thesis is not in Swedish, Danish, Norwegian or English, check whether the ad asks for a summary and its limit.
  6. Check the security line. The swarm-safety ad says "a security screening will be carried out if applicable" because of defence-related partners. If that applies to you, read our page on sanctions and PhD applications outside the US.
  7. Write the reference number in the first line.

Questions about Swedish PhD applications

Dutch ads work differently: a PhD position in the Netherlands is a four-year job with a go/no-go and a one-page letter.

Comparing a Swedish post with a Dutch one? The Dutch PhD offer: salary, contract and start date sets the two salary agreements side by side.

Do I need to contact a supervisor before applying?

Not for an advertised post. You apply to the ad. None of the six ads asks for a supervisor's agreement; each names a contact person for questions about the project.

Is this the same letter as for a Swedish master's?

No. Lund's master's applications use per-programme forms with short boxes, covered in the Lund statement of purpose guide, and our Nordic master's motivation letter guide compares KTH, Lund, Aalto and DTU. A doctoral cover letter is a job letter for one advertised project.

Do I need to speak Swedish?

The ads differ. The swarm-safety ad requires "very good knowledge of English, spoken and written". The MINARET ad says "you are expected to acquire basic knowledge of Swedish during the employment period". The medical radiation physics ad lists "proficiency in spoken and written Swedish" among its selection criteria and accepts applications in Swedish or English.

I am a university lecturer. Should I leave out my teaching?

Not entirely. Name what it shows about research, such as a student project you designed around a question, in one or two sentences. Our guide to the PhD statement for lecturers and assistant professors covers how to state study leave and a return obligation.
