Deposit Refund After a Visa Refusal: Letter
Visa refused? At all 6 providers we checked, the refusal letter gets your deposit back; a late decision may not. Exclusions, deadlines and a letter.
Deposit Refund After a Visa Refusal: Letter
At all six providers we checked, a refusal letter gets your tuition deposit back, minus a fee at some; a late decision may not. All four UK universities we checked refund on a refused student visa, with evidence. Canada's UNBC refunds "minus a $150 processing fee", but not when the decision simply arrives too late. Australian law caps the deduction at 5% or $500 (AUD), whichever is less.
The exceptions matter as much as the rule. Edinburgh will not refund if the refusal was "a result of" fraud, "insufficient funds" or "supplying incorrect documents". Our view: read the refund clause before you pay, keep the refusal letter, and send one complete request before the university's deadline. This page compares six published policies and gives a constructed letter built from them.
Every policy below was checked on 31 October 2026. UNBC's policy is dated February 2024 and is the oldest here. The visa process itself is out of scope: for the UK it is on GOV.UK, and for Australia on the Home Affairs Student visa page.
The rules at six providers
| Provider | Refund on visa refusal? | What forfeits it | How and by when |
|---|---|---|---|
| Edinburgh (UK) | Yes, for a refused or rejected visa or ATAS clearance | A "fraudulent visa application", "insufficient funds", "supplying incorrect documents" | Email your School or College Admissions Team |
| Exeter (UK) | Yes, after the 14-day cooling-off period | "fraudulent or incorrect documentation" | Scanned refusal letter via the enquiry form, "within 30 days of the official start date" |
| Sheffield (UK, 2027 entry) | Yes, if "refused or rejected" | "evidence of fraud" | Refund form "by 1 November 2027" |
| Imperial (UK) | Yes, in full, with a "Refusal of Entry Clearance letter" | A "fraudulent application or a pre-standing Home Office ban on entry" | Not stated on the page we checked |
| UNBC (Canada, graduate) | Yes, minus $150, if you decline because the study permit was refused | Misrepresentation; a decision not received in time | internationalrefunds@unbc.ca "no later than the 15th of the month before their starting semester" |
| Australia, ESOS refund instrument 2024 | Yes, course fees "minus the lesser of" 5% of fees received or $500 | Not stated in the instrument | The instrument sets the amount, not the request process; ask your provider |
Our count from the table: all four UK universities refund on refusal and all four exclude fraud. Only Edinburgh names "insufficient funds" as an exception. Edinburgh and Exeter also name incorrect documents.
Refusal vs delay
A refusal is a decision you can attach. A delay is not, and the policies treat it differently.
UNBC says it plainly: "Refunds will not be given in cases where students have not received their study permit decision in time to arrive for the start of the semester." It also requires that "IRCC refusal letters must be dated after the date of the most recent application/deferred or re-application to UNBC." A refusal from an earlier attempt does not count for a new offer.
Cambridge does not set out a delay rule for deposits, but its deferral page shows the same logic from the other side: "Late issue of an ATAS certificate or visa will not, in general, be accepted as an exceptional circumstance".
Our view: if your visa is late, not refused, do not withdraw and expect a refund. Ask the university in writing what happens to the deposit if you start late, defer or withdraw, before the start date passes.
The countercase: where a provider's policy names only refusal, a decision that arrives after you have withdrawn may leave you with no refund route at all. In that case, waiting for the decision, then applying with the refusal letter, is the safer order.
The exceptions that forfeit the deposit
Read the refusal letter for its reason before you write. The same refusal can be refundable at one university and not at another:
- Insufficient funds. At Edinburgh, a refusal "a result of" insufficient funds is excluded. None of the other three UK pages we checked names it.
- Incorrect or fraudulent documents. Edinburgh, Exeter and Imperial exclude fraud; Edinburgh and Exeter also exclude incorrect documents. Exeter adds: "In such circumstances any offer from the University will be invalidated and we will notify the UKVI and retain the deposit payment."
- Misrepresentation in Canada. UNBC: "Submission of fraudulent documents, false claims during the admission process (including study permit confirmation) or failure to receive a study permit due to misrepresentation will result in the forfeiture of the admissions deposit."
Australia's instrument works differently. Where a student "was refused a student visa and the refusal caused the student to fail to start the course", the refund is the course fees minus the lesser of 5% and $500. On a provider that collected AUD 20,000, 5% is AUD 1,000, so $500 is the lesser amount and the refund is AUD 19,500 (constructed figures, our arithmetic).
Deadlines and evidence
| Provider | Deadline | Evidence |
|---|---|---|
| Exeter | Within 30 days of the official start date | Scanned Entry Clearance Officer's refusal letter, full name, university reference number |
| Sheffield (2027 entry) | 1 November 2027 | Documentary evidence, with an authenticated English translation if needed |
| UNBC | The 15th of the month before your starting semester | "proof of study permit denial" |
| Imperial | Not stated on the page we checked | "a Refusal of Entry Clearance letter from UK Visas and Immigration" |
| Edinburgh | Not stated on the page we checked | Email to your School or College Admissions Team |
Two consequences follow. Sheffield says that "If we refund your tuition fee deposit, we'll withdraw your application." Edinburgh says the same: "If we refund a deposit, your application will be automatically withdrawn." A refund ends the offer. If you plan to reapply for a later visa on the same offer, ask first.
Defer instead of refund?
A deferral can keep both the place and the money, where one is offered:
- UNBC: "Not all programs will allow a student to defer." If approved, "their deposit will be transferred to the new intake", deferral is allowed "once", and "a non-refundable deferral deposit is required".
- Exeter: on deferral, "Your deposit will be rolled over with your application to the next admissions cycle."
- Sheffield: "If you defer your offer, we'll normally transfer any fee deposit you've paid to the updated offer automatically."
- Edinburgh: "We do not normally offer deferrals", and if it cannot defer you, "there is no automatic right to a refund of your deposit if you withdraw".
Decide in this order:
- Refused, and you will not reapply for a visa this year? Request the refund with the refusal letter, before the deadline.
- Refused, but you will reapply for the next intake? Ask whether a deferral is possible first. At UNBC a deferral transfers the deposit; a refund withdraws the application.
- Not refused, only late? Do not withdraw yet. Ask about late arrival or deferral in writing; deferral requests at visa-delay time are covered in our page on deferring grad admission for a visa delay.
The refund request letter
Constructed example: the refund request
Two constructed examples, written by us, not real applicant letters. Context (invented): an applicant refused a UK Student visa for an MSc starting September 2027, who paid a £2,500 deposit in May 2027. The refusal letter gives a reason that the university's policy does not exclude.
Weak version:
Dear Sir/Madam, my visa got refused so I will not be able to join. Please refund my deposit amount at the earliest. I am attaching the documents.
Revised version (118 words, subject line included):
Subject: Deposit refund request, visa refusal, MSc [programme], reference [number]
Dear Admissions Team,
I request a refund of my tuition fee deposit under your deposit refund policy, which allows a refund where a UK Student visa is refused.
- Name: Ananya Rao (invented name), as on my passport
- University reference number: [number]
- Programme and start date: MSc [programme], September 2027
- Deposit: £2,500, paid on [date], payment reference [number]
- Visa refusal: Entry Clearance refusal letter dated [date], attached
I have declined my offer in the applicant portal. Please tell me if you need any further document, and send me the refund form or bank-details request through your secure system.
Kind regards, Ananya Rao (invented name)
Why the revision works: it names the clause, gives every number staff need to find the payment, attaches the refusal letter the policies name, and keeps bank details out of the email body. The weak version makes the university look up the reference, the amount and the policy itself.
If your refusal reason is one the policy excludes, the letter will not change the answer. Spend the effort on the reapplication instead: what to do after a student visa refusal covers the next steps, and for Canada, the study permit LOE after a refusal covers the letter.
Questions about deposit refunds
Will I get my deposit back if my UK student visa is refused?
At all four UK universities we checked, yes, with the refusal letter, unless the refusal falls under an exclusion. All four exclude fraud; Edinburgh also excludes insufficient funds, and Edinburgh and Exeter exclude incorrect documents.
What if my visa is delayed, not refused?
UNBC refuses refunds when the decision does not arrive in time. Ask your university in writing before the start date; a delay is not a refusal.
Do I lose my offer if I get a refund?
At Sheffield and Edinburgh, yes: a refund withdraws your application.
How much do Australian providers keep?
Under the ESOS refund instrument, a provider refunds course fees minus the lesser of 5% of fees received or $500, where the refusal stopped you starting the course.
Can I ask for a refund for any other reason?
Edinburgh lists its cases and says "We cannot refund deposits for any other reason." The other cases, and the offer and deposit replies, are on UK master's offer: accept, deposit, defer emails. If you plan to reapply to Australia, see rewriting your GS answers after a refusal before you lodge again.
