Defer Grad Admission for a Visa Delay: Letter

You can ask a US graduate program to defer your admission because your visa appointment is too late, but only if the program defers at all, and at Arizona State and San José State only once. NYU Tandon accepts no deferral requests. San José State allows one, and an approved deferral is final.

So the deferral letter is not a casual email. Emailing the university to explain your situation is not enough, because three facts decide the outcome: the department decides, some schools give you a single try, and some schools have a separate late-arrival route that keeps your current term. This page shows what six US universities publish, which request to make first, and a constructed letter for an admit whose visa interview falls after the start date.

Every university page quoted below was checked on October 31, 2026. Deferral windows open and close each term, and several pages state no year, so recheck your own school's page on the day you write.

Who decides, and how many tries you get

The rules differ sharply. These six schools publish theirs:

SchoolDoes it name visa delays? How many requestsThe catch
NYU Tandon, graduateNoNone: "Deferral requests of any kind will not be accepted or permitted."You reapply; "admission is not guaranteed"
Arizona State, graduateNo"Only one graduate admission deferral is allowed.""Not all academic units offer deferrals"
San José State, graduateNo; it covers "unforeseen personal hardship""strictly limited to one request per student""An approved deferral permanently cancels your current admission"
St. Cloud State, graduateYesUp to "one calendar year from your original start term"No visa by the end of that year means you reapply
North Alabama, international admissionsYes: "Delay in visa appointment""up to a maximum of two deferral requests"New bank statement and sponsorship form, "Dated within the last 6 months"
University of Memphis, graduateYes, through a late-arrival routeNot statedLate arrival needs written department approval first

Three things follow from the table.

  1. Ask the department, not only the graduate school. ASU tells you to "consult your academic unit prior to submitting a request." UCLA's June 18, 2025 memo on visa-season deferrals said the same thing from the other side: "Departments may choose whether to offer deferrals."
  2. A single request is the norm in this sample. ASU and SJSU allow one. North Alabama allows two, and says the second "is the final deferral allowed."
  3. Approval can be irreversible. SJSU says an approved deferral means "this decision is final and cannot be reversed." If your visa then arrives early, you cannot take back the original term.

Only North Alabama and St. Cloud State name visa delays as a deferral reason in the text we checked; Memphis names them as a reason for late arrival. The North Alabama form is from its international admissions office and is not limited to graduate students.

Late arrival or deferral: which request to send first

Some schools let you arrive late in the original term. That is a different request from a deferral, and it does not use up your one deferral.

The University of Memphis says: "Some students may experience delays in securing a visa appointment." For graduate students, its steps are to "Contact your department chair and academic advisor to request a late arrival approval" and to "Successfully receive a written confirmation from your department guaranteeing full-time enrollment to meet the F-1 enrollment requirements when you arrive." Its Fall 2026 page set August 17 as the arrival date; that date has passed. It also says that without that permission "you should defer your admission to a future semester."

Our view: if your school publishes a late-arrival route and your confirmed interview date leaves time to travel before that school's cut-off, ask for late arrival first. If you have no confirmed date, or the date falls after the cut-off, ask for the deferral once, in writing, with every question in the same letter.

The countercase: a late-arrival request is a gamble at a school with a one-shot deferral rule and a deadline. ASU's deferral deadline is "11:59 p.m. (Arizona time) on the drop date" for physical-campus students. If you wait for a late-arrival answer and miss that deadline, you may lose both options. In that case, send the deferral request first.

What none of these pages publishes: how often visa-delay deferrals are approved. None of the six pages gives a number, so treat any approval rate you read on a forum as unknown.

Before you ask: four checks

Run these before you write. Each answer goes into the letter.

  1. Which term can you move to? SJSU moves you to the "next available term", and "if a program only begins in the fall, the deferral defaults to the subsequent fall term." St. Cloud State notes: "Some graduate programs only admit students in the fall." Check whether your program has a spring start before you ask for one.
  2. Does your funding move? Do not assume it does. UCLA's 2025 memo was a dated exception for international Fall 2025 admits, and it said that if a department approved a deferral, "the financial support package originally offered to the student must be maintained or increased." That was a one-year policy, not a standing US rule. North Alabama's form says the university may revise "tuition, fee, room and board expenses or scholarship offers." For funded offers, the rules at four more schools are in our page on deferring grad admission and keeping funding.
  3. Does your I-20 move? SJSU says: "we will work with you to defer your I-20 start and end dates. The deferral of I-20 dates would not typically require you to pay a new SEVIS fee." Kennesaw State says: "Your I-20 can only be deferred once your admission update has been processed," and "Financial statements must be dated within 6 months of the issuance of your I-20." So the admission change comes first, then the I-20, then possibly new bank letters.
  4. Will deferring touch your visa status? ASU says: "Canceling or deferring admission will likely affect your visa status." Ask the school's international student office before you act. The visa process itself, forms and interviews, is not something a deferral letter can fix, and our page on current US student visa rules separates what applies now from proposals.

A spring start also changes your first summer. If you move from fall to January, read the CPT problem for spring intake master's students before you choose the term.

The deferral request letter

The letter has one job: get a yes or no on admission, funding, the I-20 and the deposit in one reply. Visa facts go in two sentences: what you applied for, and the date you have. No visa-process story, no pleading.

Constructed example: weak and revised deferral letters

Constructed example, written by us, not a real applicant's letter. Context (invented): Arjun Mehta, an Indian applicant admitted to an MS program for Spring 2027. The program starts on January 19, 2027. His earliest F-1 interview date is February 23, 2027. His program also admits in fall.

The weak version (67 words):

Dear Sir/Madam, I am very worried because I could not get a visa appointment. I have tried every day. Please help me. I really want to join your esteemed university and it has always been my dream. Can you please defer my admission to any later semester? I will be very grateful. I am attaching my admission letter. Kindly do the needful at the earliest. Regards, Arjun

The revised version (161 words):

Subject: Deferral request, Arjun Mehta, Student ID [number], MS [Program], Spring 2027

Dear [Graduate Coordinator's name],

I accepted my offer of admission to the MS in [Program] for Spring 2027. My earliest available F-1 visa interview is on February 23, 2027, after the program's January 19, 2027 start. I am requesting a deferral of my admission to Fall 2027.

Could you confirm:

  1. whether the department will approve admission for Fall 2027, and the form and deadline I should use;
  2. whether my [scholarship or assistantship] will be held for Fall 2027, and on what terms;
  3. what the international office needs from me to issue an updated I-20, including any new financial documents;
  4. whether my enrollment deposit transfers to Fall 2027.

If the department offers late arrival for Spring 2027 instead, I would like to know the latest date it would accept.

I have attached my interview confirmation and my admission letter.

Sincerely, Arjun Mehta [Applicant ID] · [email]

Why the revision works: it names the term, the date and the reason in three sentences, then asks four questions that match the four checks above. It asks about late arrival in one line without making it the main request, so it does not waste a one-shot school's single deferral on a question. It drops "esteemed" and "do the needful", which give the coordinator nothing to act on, and it attaches proof instead of describing effort.

If the deferral is refused

A refusal at a no-deferral school is a decision, not a negotiation. NYU Tandon says: "If you are unable to attend, you can reapply for a future term but please keep in mind that admission is not guaranteed. Certain documents may be moved from the previous application at the candidate’s request." St. Cloud State says that without a visa by the end of the one-year period, "you will need to reapply for admission to your desired program."

Our recommendation: ask in your reply which documents can carry over, then reapply with a revised statement, not a resubmitted one. A year later, your statement should describe the year you just had. Our page on which files carry into a graduate reapplication covers transcripts, references and accounts.

If the visa was refused rather than delayed, the deposit question comes first; see the deposit refund letter after a visa refusal. Accepting an offer at another school instead? How to accept a PhD offer by email covers the reply.

Questions about visa-delay deferrals

Can I defer my US master's admission because of a visa delay?

Only if your program allows deferrals. NYU Tandon does not accept any deferral requests. ASU and SJSU allow one. St. Cloud State and North Alabama name visa delays directly. Ask your department before you ask the graduate school.

Will my scholarship or assistantship carry over?

Not automatically. UCLA required funding to be "maintained or increased" only under its one-off 2025 policy for international Fall 2025 admits. Elsewhere, ask in the same letter and get the answer in writing.

Do I need a new I-20 after a deferral?

At the two schools we checked that say, the I-20 follows the admission change. SJSU says it defers the I-20 dates, and Kennesaw State says the I-20 can only be deferred after the admission update. Your international office confirms the steps.

Should I defer to spring or to next fall?

To the next term your program actually starts. SJSU moves fall-only programs to the next fall. If a spring start is possible, check the first-summer CPT effect before you choose it.

Can I cancel a deferral if my visa comes through early?

At SJSU, no: an approved deferral "cannot be reversed." Ask your school the same question before you submit. If a refusal forced the deferral, see how to write one line in your SOP after a visa refusal.
