Reapplying to Grad School: Which Files Carry?
Graduate reapplication rules differ on retained transcripts, references and accounts. Audit each document before reusing a previous application.
Reapplying to Grad School: Which Files Carry?
A graduate reapplication usually needs a new submission, but old supporting documents may or may not carry over. Check the receiving program's retention rules separately for transcripts, recommendations and statements. Seeing an old file in your account does not establish a complete new application.
Retained documents and renewed applications differ
Berkeley Social Welfare requires reapplicants to submit a new application with all required elements, including a current résumé or CV and new recommendation letters. Use that as the rule for this department, not every Berkeley graduate program. Berkeley Social Welfare reapplication FAQ.
Brooklyn College requires a new graduate application, a new account and another application fee. However, supporting documents need not be resubmitted when the previous application was within two years; applicants can supply new documents. Previously enrolled degree students returning after an absence instead have a Registrar readmission route. Brooklyn College reapplicant instructions.
Our recommendation: separate what the office can retrieve from what you should update. Permission to reuse a document is an administrative convenience, not evidence that an unchanged application now reflects your strongest preparation.
Make a material-by-material check
Create one row for each required item, with columns for retained, must resubmit, update advisable, and confirmed in the new file.
- Application and account: Follow the institution's exact reapplication process. Create a new account only where instructed; another university's process is not a workaround for application limits.
- Academic records: Check whether retained transcripts include all completed study and grades. A previously sufficient record may now omit a degree or new coursework.
- Recommendations: Determine whether reuse is permitted and what the recommender must do. If new letters are required, give writers current information and enough time to respond.
- Statement, CV and test results: Update your experience and current program fit. Independently check whether any required scores remain valid for the new cycle.
After submitting, inspect the new application's checklist. Keep a distinction between an old record stored somewhere in the system and the record actually associated with the application under review.
If the instructions do not say whether a specific item carries over, ask admissions with the previous application date and intended program. Do not assume an apparent retention window applies to every document or every degree.
Worked example: returning 18 months later
Illustrative case: An applicant returns 18 months after an unsuccessful graduate application. Since then, they have completed additional coursework and worked on a research project.
Under Brooklyn's published within-two-years rule, they need not resubmit supporting documents merely because they are reapplying. They still follow its new-application process and have a reason to provide updated academic and project information. The preserved transcript cannot show grades earned after it was issued.
For Berkeley Social Welfare, they prepare all required elements again and request new letters. A recommender's old letter remaining in a previous portal record would not satisfy the cited new-letter instruction.
The applicant can therefore reuse their own research notes and document inventory while building two different submission plans. This example concerns file handling; it does not imply that an additional project or a second application changes the admissions outcome.
