PhD Verbal Offer: Is Admission Now Official?

A professor's encouraging message or departmental recommendation may precede official PhD admission. Check who issues the university's decision and where it appears before treating the place as confirmed. If funding is essential, verify its written terms separately.

Find the office with decision authority

At the University of Maryland, responsibility for graduate admission rests with the Graduate School Dean. Departments review applicants and recommend decisions to the Dean. Its admissions committee sends recommendations to the Graduate Studies Office, and the official admission offer comes from that office by email through the online application system. Use those examples to identify the equivalent authority at your institution. They do not establish how every university admits students, how long processing should take, or the probability that a recommendation becomes an offer.

Follow a three-document trail

Create a short record with three rows. Save the actual message or notice beside each row; leave missing documents marked pending.

• Faculty message: Does it express interest, describe a committee recommendation, or point to an issued official decision? Record the sender's role and the exact status described.
• Department recommendation: Has the department confirmed that its recommendation was submitted? Identify which university office handles the next step and whether anything is needed from you.
• Institutional decision: Is the official offer available in the designated system? Read the program, degree, entry term, response instructions and any outstanding conditions.

A faculty member might forward an official notice, so classify the underlying document rather than judging solely by who sent the email. Equally, an email using the word “accepted” does not tell you which procedural step has been completed.

When the promised letter has not arrived

Illustrative case: A professor tells an applicant, “We recommended you, and the university letter should follow.” A week later, the portal has no decision and another application remains active.

The applicant records a confirmed departmental recommendation and a pending institutional notice. They check the designated portal and contact the graduate admissions office with their application identifier, the department and the date of the message. The useful questions are whether the recommendation was received, whether anything is outstanding, and how the official decision will be delivered.

They avoid withdrawing the other application solely because of the encouraging email. If another response deadline is approaching, they state that date when requesting clarification; they do not assume an expedited decision or an extension will follow. Silence alone supplies no reliable admission probability.

This is a later-stage verification task than finding and contacting a PhD supervisor. Keep the distinction clear when planning your next action.
