SOP Font, Spacing and File Format: Program Rules
SOP font, spacing and file rules at 8 US programs, checked Oct 31, 2026: only Columbia sets a full format. Page math, header and PDF naming.
SOP Font, Spacing and File Format: Program Rules
Of eight US master's programs we checked on October 31, 2026, only Columbia Engineering publishes a full format for the statement: margins of at least one inch, double spacing, "10-point Arial or 12-point Times New Roman", and your name on every page. And even Columbia calls it "preferred". The other seven set a length in pages or words, and that unit decides your spacing.
A generic formatting template gives one answer for every program: one font, one spacing, a bold heading. None of the program pages below publishes a template like that. The real question is narrower. If a program limits pages, spacing and font size decide how much you can say. If it limits words, they barely matter. When the format is settled, check the content against the master's SOP rubric.
Every program page quoted below was checked on October 31, 2026. Format instructions sometimes appear only inside the application, so read the upload screen before you export.
Programs that publish format rules
| Program | Length unit | Font and spacing | File or header rule |
|---|---|---|---|
| Columbia Engineering, CS MS | Words: "between 250 and 1,000 words", may be exceeded | Double spaced; "10-point Arial or 12-point Times New Roman"; margins at least one inch | "Your name should appear in the Header or Footer of every page." |
| CMU Computer Science, MSCS | Pages: "a concise one- or two-page essay" | None stated | Resume and transcripts as PDF; none stated for the SOP |
| Berkeley Fung Institute MEng | Pages: "around 1 to 2 pages single-spaced" | Single-spaced (suggested) | None stated |
| Stanford CS MS | Pages and characters: "no more than two pages" and 8,000 characters including spaces | None stated | Upload in the application |
| Purdue Graduate School | Pages: "not exceeding two pages in length, is encouraged" | None stated | None stated |
| UIUC Siebel School | Pages: "Generally … between one to two pages" | None stated | Part of the online form |
| Northeastern Khoury MS | Words: "maximum of 1000 words (no page limit)" | None stated | None stated |
| USC Viterbi MS | None: "There is no standardized format or length" | None stated | None stated |
Columbia's full rule, as published:
"If possible, the following format is preferred: All margins should be at least one inch, and the left and right margins should be equal. Text should be double spaced. The preferred fonts are 10-point Arial or 12-point Times New Roman; however, any legible serif or sans-serif standard font may be used. Do not use script or ornamental fonts. Your name should appear in the Header or Footer of every page."
The same FAQ adds: "We recommend that your Personal Statement be between 250 and 1,000 words. Your application will not be negatively impacted should exceed this recommendation." It also says: "It is integral to the admissions process that you write and submit this Personal Statement on your own. Any evidence of plagiarized materials may result in denial or revocation of admission."
Read across the table: five programs set pages, two set words, one sets nothing. Only Columbia names a font. Columbia and Fung are the only two that name a spacing, and they name opposite ones: Columbia prefers double, Fung suggests single. For word and page limits at many more programs, see SOP requirements at 134 US universities; this page is only about how the unit changes your layout.
Single or double spacing, and what a page is
Our view: pick spacing by the unit. Where a program limits pages and sets no spacing, use single spacing at 11 or 12 point. Where it limits words, follow its format if it gives one, and let the page count fall where it falls.
The basis is our arithmetic. On US Letter paper (8.5 × 11 inches) with one-inch margins, the text block is 6.5 × 9 inches. Double spacing doubles the height of each line, so the same text takes about twice as many pages. A "two-page" limit filled double-spaced holds about half the words of two pages single-spaced. That is why Fung's suggestion, "1 to 2 pages single-spaced", names the spacing along with the page count.
Two contrasting cases, using the same constructed 950-word draft:
- CMU MSCS, "one- or two-page essay", no spacing rule. Set it single-spaced at 11 or 12 point with one-inch margins and export it. If the PDF runs past two pages, cut until it does not. Double-spaced, the same draft would take about twice as many pages, so a draft that just fits two pages single-spaced would need about four. Use single spacing.
- Columbia, 250 to 1,000 words, double spacing preferred. The same draft is inside the word range. Double-spaced it will take about twice the pages it took for CMU, and that costs nothing, because Columbia sets no page limit. Use Columbia's format.
The countercase: if a page-limited program also requires a font or spacing (none of the eight above does for the SOP; Fung only suggests single spacing), its rule wins, and your job becomes cutting words. And if your draft is already short, say 600 words, 1.5 spacing fits inside two pages and is easier to read. The rule is to fit the limit you were given, not to fill it.
Measure your own: export to PDF, count the pages, and divide your word count by that number. That is your words per page in your font. Do not trust a "500 words per page" rule from a blog. Font, size and paragraph breaks all change it.
Header, applicant ID and file name
Only Columbia, of the eight, asks for anything at the top of the page: your name in the header or footer of every page. None asks for an applicant ID inside the SOP, and none sets a file name.
Formatting is one of twelve checks in the SOP checklist before submitting.
Our recommendation:
- Header. Put your name, small, in the header for any upload that might be printed or passed around. It costs one line and Columbia asks for it. Do not add a title; our guide to whether a statement of purpose needs a title covers why.
- Applicant ID. Leave it out of the SOP unless the instructions ask. It matters when a document travels outside the portal. USC, for example, says a corrected document sent by email must "include your name and USC ID in the email". That is the email, not the SOP.
- File name. Use something plain that a reader can match to you: your name, the document and the program.
- File type. Export to PDF. CMU asks for the resume and transcripts as PDF, and a PDF keeps your page breaks on any reader's screen. A word-processor file can re-flow onto an extra page on another machine.
Constructed example, written by us, not a real applicant's file:
Header line: Ananya Rao · MS in Computer Science · Statement of Purpose
File name: Rao_Ananya_SOP_MSCS.pdf
Avoid file names like "SOP final FINAL v3.pdf" or a name with your application number typed wrong. If a program's upload screen gives its own naming rule, follow it.
Headings inside the SOP
None of the eight pages mentions headings inside the statement.
Our view: use no headings in a one-to-two-page or 1,000-word SOP. In a page-limited program each heading spends a line, and a document this short reads as one argument, not a report.
The countercase: when a program lists separate questions and you answer them in one upload, a short label per answer can help the reader find each one. Berkeley EECS glosses its SOP as four questions, starting "Why are you applying for this program? What are your research goals and interests?" (Berkeley EECS admissions). Even there, a clear first sentence per paragraph usually does the job without a label. Long PhD research statements are the other exception.
Before you export: format checklist
- Find the length unit on the program page: pages, words, characters, or none.
- If pages: single-space at 11 or 12 point, one-inch margins, and check the PDF page count.
- If words: count in your editor and follow any format the program publishes, as at Columbia.
- Use one standard font throughout. No script or decorative fonts.
- Add your name in the header if the program asks, or if the file could be separated from your application.
- No title, no headings, no colored text, no images.
- Export to PDF and open it on another device.
- Name the file with your name, the document and the program.
Questions about SOP formatting
Should an SOP be single spaced or double spaced?
Follow the program. Columbia prefers double spacing. Fung suggests single-spaced pages. Where a program sets pages and no spacing, single spacing lets you fit the content inside the limit.
Is 11 or 12 point font better for an SOP?
Neither is required by the seven programs here that set no font. Columbia names 10-point Arial or 12-point Times New Roman. Pick a size that fits your page limit and stays readable.
Should I upload my SOP as a PDF or a Word file?
PDF, unless the program asks otherwise. It keeps your layout and page count fixed.
Does a page limit include the header?
None of the eight pages says. Keep the header to one short line so the question does not matter. Applying in the UK as well? The UK master's personal statement format guide covers LSE's header rule and UK character limits.
