US Application Calendar for International Counselors
A US college application calendar for international school counselors: month by month from Grade 11 to August, built around your exams and the forms.
US Application Calendar for International Counselors
For an international school counselor, the US calendar has four fixed points: early deadlines around November 1, regular deadlines around January 1, the midyear report around February, and the final report, which Harvard wants "no later than July 1". Everything else should be planned backwards from your own exam calendar, not forwards from November.
This page is for the counselor or school official who fills in the Common App forms for a class of US applicants. It gives a collision table, a month-by-month plan from May of Grade 11 to August after Grade 12, a caseload tracker for 30 or more students and a printable checklist. It is counselor-side; students drafting essays can use a free Common App essay review.
Every college and Common App page quoted below was checked on October 30, 2026. Harvard's requirements page states its dates without a cycle year, so recheck it before you plan the 2026-27 cycle.
The collisions
The US dates below are Harvard's, as one fixed example. Other colleges' early and regular dates are in college application deadlines 2026-27, by date, and decision dates in early decision and early action notification dates.
| US step | What Harvard's page says | Your school's dates (fill in) |
|---|---|---|
| Early deadline | Student materials due "November 1 for Restrictive Early Action"; "high school counselors are given an additional week" | Mock or pre-board exam weeks: ____ |
| Regular deadline | "January 1 for Regular Decision", with the same extra week for counselors | Winter break: ____ |
| Midyear report | Deferred early applicants send it "in February, or as soon as your midyear grades are available" | First-term report cards: ____ |
| Final report | "no later than July 1" | Final exams and graduation: ____ |
| External results | "IB students should send their final results as soon as they are released in mid-July. We will expect to see final A levels results by mid-August." | Your board's results date: ____ |

Two facts make the collisions worse than they look:
- Letters are one-and-done. Common App's recommender guide says "once you submit a form, it's sent to all the colleges you're assigned to. That's why it's important not to customize your forms for a specific institution" (Common App recommender guide). The letter you write for one student's earliest deadline is the letter every college on that student's list gets.
- Predicted grades travel with the School Report. Harvard expects IB and A-level schools to "send predicted grades, based on your current classroom work and the results of any internal or mock exams you have taken up to that point." Princeton asks the school official "to submit predicted or achieved results as they become available" when leaving exams are a graduation requirement (Princeton, International students).
Our view: for any student applying early, the counselor letter, the school profile and the predicted grades should be finished by the end of September. An early deadline that falls in mock season leaves no time to write a letter that will go to every college on the list.
The countercase: if your school sets no autumn exams and your predicted grades are issued in Grade 11, October is workable. The one-and-done rule still means the first letter must be the final letter.
Month by month: May of Grade 11 to August after Grade 12
May–June, Grade 11
- Update the school profile. Common App says to "Update yearly" and to "Aim for a profile that's 1–2 pages long" (Developing a school profile (PDF)). The guide also warns that "application readers may not be able to click on links", so use short URLs or QR codes. School profiles for international schools has a section-by-section build.
- Confirm who signs as counselor. Princeton says a school without a counselor can use "a school official — such as a principal, vice principal or dean".
- Ask students which teachers they will request, so no teacher gets twelve requests in September.
July–August
- Hand out brag sheets. Common App has counselor, teacher and family brag sheets, each "Available in English and Spanish" (recommender guide). Parent brag sheet examples counselors use shows what a useful family sheet looks like.
- Students start essays. Run a summer essay session here; the college essay workshop lesson plan has a 60-minute version.
September
- Decide predicted grades for early applicants.
- Write counselor letters for early applicants. The 2026 Common App counselor form asks for "a short evaluation (1000 words or less) that will help colleges differentiate this student from others" and invites "Relevant context for the student's performance and involvement, such as particularities of family situation or after-school obligations, either positive or negative" (Common App counselor recommendation (PDF)). Counselor recommendation letters for international students covers what to put in it.
- Prepare the School Report and grading explanation; see the Common App School Report at international schools.
October
- Submit early School Reports and letters. Remember that the extra week Harvard gives counselors is Harvard's statement; do not assume it for every college.
- Draft regular-round letters while early ones are fresh.
November–December
- Submit regular-round forms. A January 1 deadline, like Harvard's, can fall in your winter break.
- Early results arrive. Students who are deferred need a midyear report.
January–February
- Midyear reports. Princeton's includes "new internal or predicted grades after the first semester or trimester of your final year", and says a school that "does not provide midyear grades or predictions" need not send one. If grades fell, see mid-year report when grades dropped.
March–May
- Decisions. Help students compare offers. Send optional reports only when something material changed.
June–August after Grade 12
- Final reports by each college's date (Harvard's: July 1). Send board or IB results as they are released. Board exam results after US college admission covers what to do if results differ from predictions.
Managing 30+ applicants
At 30 students with eight colleges each, that is 240 college assignments to track (our arithmetic). The forms are one-and-done per student, so track by student and by earliest deadline, not by college.
Constructed example: a tracking sheet
Constructed example, written by us; the students and dates are invented.
| Student | Earliest deadline | Teacher recs requested | Predicted grades sent | Counselor letter |
|---|---|---|---|---|
| A. Rao | Nov 1 (early) | Physics, English: both accepted | Yes, Sep 25 | Submitted Oct 20 |
| K. Haddad | Nov 1 (early) | History: accepted; Maths: pending | Waiting for mocks | Draft 1 |
| S. Tan | Jan 1 (regular) | English: accepted | Not yet | Not started |
Rules that keep the sheet useful:
- Sort by earliest deadline. The first deadline sets the date for every form for that student.
- Batch the writing. Write all early-round letters in one block of days in September, then all regular-round letters in November.
- Cap teacher load. Count requests per teacher in June and redistribute before the summer.
- Use the opt-out when you must. The counselor form has a box, "I will not be sending an evaluation for this student", and notes that "not every college requires the counselor recommendation". Harvard says that "If a counselor is unable to submit a letter of recommendation for the applicant, another teacher or school leader may submit an additional recommendation letter."
Teachers writing letters for the first time can check a draft against GradPilot's public Common App teacher evaluation letter rubric, which reads for classroom vantage, anecdotes instead of adjectives and growth the writer watched happen.

Questions about the US application calendar for counselors
When should an international school counselor start US applications?
In May of Grade 11, with the school profile and teacher requests. Letters for early applicants should be done by the end of September.
Do counselors get extra time after the student deadline?
Harvard says counselors "are given an additional week". That is Harvard's rule. Check each college's page before relying on it.
Is a midyear report required if our school has no midyear grades?
Not at Harvard or Princeton. Harvard says that if a school "does not issue official or predicted midyear grades for your final year of school, then you do not need to submit the midyear report form".
Can I write one counselor letter for all colleges?
You have to. Common App sends a submitted form to every college the student assigned you to, so write it for all of them.
