If your recommender did not receive the request email, first check whether your portal has sent it yet. Edinburgh, Imperial and King's send nothing until you submit, and Edinburgh not until your University Username is issued, which "can take up to 7 days". Then check your portal's lock: MIT will not let you change an address after you submit; Stanford lets you change recommenders.

So the fix depends on the portal, not on how worried you are. Chasing a professor for an email that has not been sent wastes a favour. Replacing a recommender at MIT after submission is impossible. Re-entering the same blocked address at Yale or LSE gets the same result. The tables below show what 15 admissions portals send, when, and what you can still change.

Every portal page quoted below was checked on October 31, 2026. Most state no admission year, and departments can add their own rules, so check the program's page too. Two portals blocked our automated check (UCL, HKUST) and are not covered.

First, find out whether the request was sent

When the email goesPortalsWhat the page says
When you enter the recommender and send the requestMIT, Yale, Toronto Computer Science, LSE, NTU (research programs)MIT: "requests for recommendation are made automatically after adding a recommender’s information and selecting “Send to Recommender.”" Toronto: referees "will immediately and automatically receive a notification email"
When you submit the applicationImperial, King's, HKU Graduate School, EMBLImperial: "Reference requests are sent on the day you submit your application, or shortly afterwards." King's: "Your referee(s) will be emailed after you submit"
After submission plus a later stepEdinburgh, EPFLEdinburgh: not "until after you have submitted your online application and received a University Username (UUN)". EPFL: "Validating your electronic application will generate a personal e-mail to your referees"

Then check three things, in this order:

  1. The status in your portal. Imperial shows "Not submitted", "Pending sent", "Sent" and "Complete". If yours says "Not submitted", nothing has gone out.
  2. The address, letter by letter. Warwick's advice: "Please ensure that you check that the referee contact information provided with your application is correct and update if required."
  3. The date. Imperial tells referees to check "the emails they received on that day, including in their spam folder." Give your recommender the date the request went out.

If the portal says "Sent", the causes these pages name are all on the receiving side: the email was filtered, blocked or broken.

  • Filtered. LSE: "First, please ask your referee to check their junk/spam email folder." NTU asks applicants to tell referees to "look out for the email in inbox/ junk mail and complete it within 14 working days upon receipt."
  • Blocked. Yale: "If your recommender does not receive the email, it is possible that their email provider is blocking the email. You may try resending the email or excluding the recommender and adding them again with a different email address."
  • Broken by the email software. LSE tells referees that portal problems "relate to the way hyperlinks are rendered 'safe links' by some email software at the receiving end", and to copy "the plain text URL from the email sent to you, into your browser."

Some portals refuse personal addresses outright, so "use their Gmail instead" is not always a fix. NTU: "Email address given by the free-email provider will not be accepted (i.e. email address given by hotmail, gmail, yahoo, qq, etc)." Toronto Computer Science: "Gmail addresses are not acceptable." Imperial: "we cannot accept references from personal accounts." LSE allows a webmail address as a fallback but may ask for "a further, official copy of the reference if your application is successful." The rules by program are in the guide to recommender email domains and letterhead.

Our view: resend once, then change the address. A second and third resend to the same blocked address teaches you nothing. If the recommender has a second institutional address (a department alias, a hospital or lab address), use that before any personal account.

The countercase: at MIT you cannot change the address after you submit, so our reading is that the fix there has to happen on the recommender's side: their IT team releases the message, or they find it in quarantine.

What each portal lets you change

PortalResend or remindChange the address or the recommender after submitting
MITNot described on the pageNo. "Applicants cannot change the contact information for any of their recommenders after they have submitted their application." "Applicants cannot add new recommenders after they have submitted their application."
YaleYes"remind, add, or exclude a recommender", until "the minimum required number of recommendations (3) has been received"
Stanford"sending reminder emails""changing recommenders"; "You continue to have access to this page after you submit your application."
LSE"Resend invitation"Delete and re-nominate; "you may have only two active reference requests at any one time"; no changes once both references arrive
WarwickResend from the applicant portalEdit or add a referee; the new one "should receive it within 24 hours"; "The reference link will expire after 60 days but you can send a new link"
Cambridge"Send a reminder to your referees""Nominate a new referee". Cambridge says: "We do not remind referees to submit references for you."
EdinburghNo: "We will only send one email to your referee(s)."You remind the referee yourself
ImperialNot describedA new referee submits "through our Admissions Enquiry form", choosing "'I'm a referee'"
King'sNot describedSend a message through the King's Apply portal with the correct details
HKU Graduate SchoolNot described"Under exceptional circumstances, you may nominate up to two new referees"
Toronto Computer ScienceReminders "through your applicant portal after submitting your application"Not described on the page
EMBL PhD programmeNot described"Please contact the Graduate Office"

MIT's two other locks matter before you press send. "If you exclude a recommender after you submit your application, you will not be able to add a new recommender or undo your exclusion." And the FERPA waiver choice "cannot be changed after sending your request for a recommendation."

Our recommendation: for MIT-type portals, confirm each address with the recommender by email before you click "Send to Recommender", and before you submit. For Stanford-, Yale- and Warwick-type portals, you can fix things later, so do not delay submission over one slow letter.

When the recommender wants to email or post the letter

Portals differ here more than anywhere else.

  • Not accepted: Yale: "Paper letters and emailed PDFs are not acceptable." Cambridge: "We will not accept references sent via post or email."
  • Paper accepted: Georgia Tech lets a recommender "ignore the email they will receive and mail the letter" to its Office of Graduate Education. "They must be sure your full name appears on the recommendation letter", and "We do not have a template, nor do we require any specific format for paper letters of recommendation."
  • Email accepted: Edinburgh: "Your referee can email their reference to us directly", from a professional address, quoting your name, UUN and program. LSE accepts emailed references only in listed cases, such as when your referee "has experienced technical problems with the online referee portal and has been instructed to send their reference by email".
  • A route for referees without an institutional address: EMBL's PhD programme asks for "a reference letter on institutional headed paper, signed and stamped as a PDF document", including your 8-digit application ID, and tells you to "Inform your referee NOT to complete the online form."

If the deadline is close

PortalWhen letters must arrive
Yale"There is no specific deadline for letters of recommendation, and recommenders may upload letters even after the application deadline." Yale adds that programs "begin reviewing applications shortly after the respective application deadline"
EPFL"The deadline for receiving the letters is one week after the application deadline."
CambridgeBy the application deadline; Cambridge tells referees "the student’s application will be withdrawn if the deadline is not met."
LSE"these must be received before applications close for the programme you are applying for."
MITDepartment policy: "Some departments are lenient about the due date for letters if recommenders are late turning in their recommendation, but this is not a guarantee."
HKU Graduate SchoolReferees are invited "to complete an online referee's report within 14 days once your application is submitted."

For what nine programs publish about late letters and late applications, see late letters and missed deadlines.

If a letter will be late, submit your own part on time where the portal allows it. MIT, Cambridge, LSE and EMBL all let you submit before letters arrive. The missing letters at deadline guide covers the triage.

Constructed example: the message to send after a resend

Constructed example, written by us, not a real email. Context (invented): an applicant to a portal that sends on entry has just resent the request. The email is 86 words.

Dear Professor Okafor, I have just resent the recommendation request for the MS in Statistics application at [University]. It comes from the university's admissions system, not from me. Please check your junk folder and any quarantine your IT team runs. If the link does not open, copy the plain-text address into your browser. I cannot see or submit the form myself. Letters are due on December 15, 2026. If it still has not arrived by Friday, could you send me another work address I can use?

It names the sender, the folder, the link fix, the deadline and the fallback. It does not ask the professor to forward the letter to you; under MIT's rule, "Applicants will not have access to the link for recommenders to submit their recommendation letter."

Questions about recommendation request emails

No. The portals quoted here send the link to the recommender, and MIT says applicants "will not have access to the link". Warwick: "We only accept references that come directly from the referee."

Can I change my recommender after submitting the application?

At Stanford, Yale (until three letters arrive), LSE, Warwick and Cambridge, yes. At MIT, no. At HKU, only "Under exceptional circumstances". At Imperial and EMBL, through the admissions team.

Should I wait for all letters before I submit?

Not where the portal lets you submit first. Cambridge: "You do not need to wait until your references are submitted to submit your application." EMBL: "You can submit your application irrespective of whether your referees have completed the online reference form." At Edinburgh, Imperial and King's, submitting is what sends the request.

My recommender says they submitted, but my portal says pending. What now?

At LSE, ask how they submitted: references "sent by email or post" are subject to "standard processing times". At Cambridge, "It can take up to 36 hours for a submitted reference to register". At Toronto ECE and Alberta the link goes out only after you submit or pay; our page on Canadian reference rules lists each trigger.
