Emails to uni-assist and German Universities

Most of these messages should not be emails. uni-assist asks for its contact form, TU Berlin does not consider documents sent after the deadline, and TUM tells you to watch TUMonline for queries. The useful message is short, carries your applicant number, and asks one question the portal cannot answer.

A long letter sent to the wrong office costs days you may not have. This page sorts out who answers what, quotes each office's own rule, and gives three constructed messages for the cases where writing is right. For the VPD timing decision itself, see what to do about a uni-assist VPD delay; this page owns the messages.

Every uni-assist and university page quoted below was checked on 31 October 2026. Contact routes change, so check the page again before you send.

Our view: before you write, ask which office owns the answer. uni-assist evaluates certificates; the university decides admission, deadlines and enrolment. THI says it in one line: "uni-assist only checks certain documents and does not grant admission to THI." A question about your grade conversion goes to uni-assist. A question about whether a document can arrive late goes to the university, and the answer is usually already on its page.

The countercase: some things can only be done by message. TU Berlin's withdrawal is by email. A decision that is past the window the university itself publishes is worth one polite question. And a late visa appointment that threatens your start date is worth raising before the semester begins.

uni-assist: contact form, not email

uni-assist's contact page is direct: "If you have questions about the uni-assist evaluation procedure or your application, please use our contact form." It also runs a service phone, "Monday to Friday | 10.00 AM to 1.00 PM (UTC+1/UTC+2)", and asks you to "have your uni-assist applicant number ready when calling with concrete questions about your application."

Two VPD facts set when a message is reasonable. Processing "usually takes 4 to 6 weeks after you have submitted your online application form", and uni-assist advises: "Request your VPD as early as possible, ideally at least 8 weeks before the deadline. We will then have time to inform you if any documents are missing." It will "inform you by email as soon as the VPD is available to download in your My assist account under “My Inbox.”" (uni-assist VPD page). So the first place to look for a missing-document notice is My assist, not your inbox.

Our recommendation: write only when a notice in My assist is unclear, or when six weeks have passed since you submitted the online form with no result. One question per message.

Constructed example: uni-assist contact-form message

Constructed illustration — invented for this guide, not an excerpt from any real application. Context (invented): a missing-document notice that names a transcript the applicant believes was uploaded.

Subject: Applicant no. [your number]: missing-document notice for TU Berlin VPD

My assist shows a missing-document notice for my VPD request for TU Berlin (submitted 2 October 2026). It lists the "consolidated transcript". I uploaded my semester-wise mark sheets 1 to 8 as one PDF on 2 October. Does the notice mean the university's consolidated transcript is required in addition, or is the combined PDF acceptable if re-uploaded under a different document type?

Ananya Rao, applicant no. [your number]

That message is 79 words including the subject line (our count). It names the number, the university, the date and the one document, and asks a yes/no question uni-assist can answer.

Missing documents after the deadline

The university page decides, and TU Berlin's is blunt: "Documents that are submitted after the application deadline will not be considered." It warns that applying late can make a fix impossible: "If you apply very late or shortly before the deadline, the check of your documents may not take place until after the application deadline. In this case, subsequent submissions are no longer possible." And: "If your application is not complete after the application deadline, it will be rejected for formal reasons." There is no conditional route either: "There are no conditional or provisional admissions, all necessary admission requirements must be proven by the application deadline."

An email asking TU Berlin to accept a late document is therefore not worth sending. What you can still do:

  • Before the deadline, correct by withdrawing. "If you provided wrong information relevant to data in the application, the only way to correct it is to withdraw your application and to submit a new one. This is only possible within the application deadline." The withdrawal email must include your "full name", "TUB-ID / matriculation number / application number" and a marked passport or ID scan. Note that TU Berlin also allows only "one application for admission to the master's program per semester".
  • After the deadline, plan the next intake. A VPD "is valid for one year from its date of issue", per uni-assist, so it can carry into the next round; reusing a VPD for a new master's covers the conditions.

At TUM, a pending VPD is a different case from a missing one; applying to TUM without a VPD works through it.

Status emails: wait for the published window

TUM: "You can check the status of your application at any time in your TUMonline account." RWTH Media Informatics: "For the application for admission with the deadline of 1st March the applicants are usually not informed before May." RWTH also routes formal questions away from its programme advisers: "Do not contact the MI academic advisory team regarding formal admission requirements as this only delays the response."

Our recommendation: send a status message only after the window the university publishes has passed, and then once. If RWTH says May, the first reasonable date is in June. For decision timing in other countries, see how long it takes to hear back from grad school, by country.

Constructed example: status message after the window

Constructed illustration — invented for this guide, not an excerpt from any real application. Context (invented): an applicant to a programme whose page says applicants are usually not informed before May, writing on 8 June 2027.

Subject: Application [number], M.Sc. [programme], winter semester 2027/28: status

I applied by the 1 March 2027 deadline. Your page says applicants are usually not informed before May, and my portal still shows "in progress". Is any document outstanding on my file, or is the decision still pending?

Ananya Rao, application no. [number]

That is 52 words with the subject line. It cites the university's own timeline, so it reads as a check, not a complaint.

Visa delays and start-date emails

Ask about the semester you have, not a deferral the university does not offer. TUM's rule for its Data Engineering and Analytics master's: "you can easily postpone the start of your studies to the following semester — but only if you reapply for the coming semester within the official deadline." TUM's deferring admission page says to decline the place in TUMonline, and adds that "Declining a place in a degree program does not revoke the admission." The decision between declining and reapplying belongs on our sibling page on accepting or deferring a German university admission.

What a message can usefully ask is how late you can arrive. TUM's Mechanical Engineering page gives a document window, not an arrival rule: "If individual documents are not available by then, you can submit them up to 5 weeks after the start of the lecture period. You will, however, only be enrolled once we have received all documents." It says nothing about missing the first weeks of lectures, so ask.

Constructed example: late-arrival question

Constructed illustration — invented for this guide, not an excerpt from any real application. Context (invented): an admitted TUM applicant whose visa appointment is two weeks after lectures begin.

Subject: Admitted, [programme], application [number]: arrival after lecture start

I accepted my place for the winter semester 2027/28. My visa appointment is fixed for a date two weeks after lectures begin, and I will submit the remaining enrolment documents within your five-week window. Can I start the semester two to three weeks late, or should I decline and reapply for the summer semester?

Ananya Rao, application no. [number]

That is 68 words with the subject line. It shows you read the five-week rule and asks the one question the page leaves open.

Reply only to official addresses

Two published warnings belong in every inbox rule. uni-assist: "uni-assist e.V. does not cooperate with commercial agencies in Germany or abroad that place applicants at German universities," and "Payment requests related to the application process are issued exclusively by uni-assist and are processed only through the uni-assist online portal." THI: "THI never asks for money via agencies for application purposes and only sends emails from @thi.de. THI will never ask for money before you receive your letter of admission."

Before you press send

  1. Check the portal first: My assist, TUMonline, TU portal or your university's equivalent.
  2. Find the office that owns the answer: uni-assist for evaluation, the university for deadlines and admission.
  3. Check whether the university's page already answers it, especially on late documents.
  4. Put your applicant or application number in the subject line.
  5. Ask one question. Attach nothing unless the page asks for it.
  6. Check the date against the university's own decision window.
  7. Reply only to official domains.

Questions about German application emails

Can I email documents to uni-assist?

uni-assist's contact page asks you to use its contact form for questions, and documents are uploaded in My assist. Its pages checked here give no email route for documents.

Will TU Berlin accept a document after the deadline?

No. TU Berlin says documents submitted after the application deadline "will not be considered", and an incomplete application is "rejected for formal reasons".

When should I send a status email?

After the decision window the university publishes has passed. RWTH Media Informatics says 1 March applicants are "usually not informed before May".

Can I defer a TUM admission by email?

Not as a deferral. TUM's process is to decline your place in TUMonline and reapply in the next application period. Its page gives an email contact only if declining in TUMonline "is no longer possible", and then you state your applicant or application number. Before you email an admissions office, check the upload rules for German motivation letters: TUM, TU Berlin and RPTU all ask for the portal.
